Who are the Data Processors?
The Modeshift Board members and/or Staff are the data processors and will manage, process information on the Modeshift website including bookings and events in order to deliver Modeshift’s Services.

Members and organisations may submit articles to the Modeshift Board to be featured in the News feed or Knowledge share forum, these articles may include personal information such as names.

For What Purposes are Personal Data Being Process and What is the Legal Basis for this?
The Modeshift Website
All personal information will be stored securely and will not be shared, sold or rented to any other organisations or individuals without your permission unless required to do so by law enforcement agencies.

We hold data that you submit to the Modeshift website to serve our members with Modeshift products/services.

Managing your details: You can manage your profile details by logging into the Modeshift Website and going to the “Your details page” https://www.modeshift.org.uk/members-your-details

You can also delete your account by logging into the Modeshift website by going to https://www.modeshift.org.uk/members-delete or emailing admin@modeshift.org

Weekly Digest – You can opt out of the Weekly Digest emails at any time by login into the Modeshift Website and managing your personal account details or by emailing: admin@modeshift.org.uk this information is included at the bottom of the weekly digest emails.

Modeshift Events
A Modeshift Event is deemed to be any event listed on the Modeshift Website. We will handle and process personal data to facilitate event bookings. Data entered into the Modeshift Website (www.modeshift.org.uk) will be kept in accordance with Modeshift’s Privacy Policy

We may also request for Photo consent for our events using our specific photo consent form.

All of the above information relating to the Modeshift events will be held securely and in accordance with this privacy policy. You can request for any information we hold in relation to yourself by contacting admin@modeshift.org.uk.

Who is the Personal Data going to be shared with?
Modeshift Board Members have access to the management system of the Modeshift Website. Modeshift works with PWLC Projects LLP, Hubspoke Marketing Ltd and Stel Designs in order to support the delivery of their services. In order to do so data may be shared with these parties.

Modeshift Export Functionality – Exporting a Membership and Event Data
The Modeshift Website has export functionality at a management level. Data may be exported in order to support the delivery or events and bookings. Delegate lists may be shared with venues if required for security purposes.

Mailchimp – Use of 3rd party email management databases
We may use email management platforms to coordinate communications for additional marketing communications. We may use a 3rd party called Mailchimp to coordinate and manage our mailing lists and email delivery. We may share your data with Mailchimp in order for us to deliver our email communications. We may store the following information on the Mailchimp Database platform:

– Your Email Address

– Name

– Place of work/Organisation name

Only Modeshift will have access to this information and individuals can personally manage their email subscription via this platform.

Mailchimp also collects analytics regarding open and click through rates and geographical data such as location. Mailchimp may also record IP addresses and other user behaviour within the emails we send.

Will my data be transferred out of the EU and if so will it be safe?
We keep our data secure by password protected servers and SSL Certification Encryption (https://) The Modeshift Website is hosted in the USA and works in accordance with GDPR compliance.

How long is my data going to be held?
Inactive user accounts will be automatically deactivated and delete after 2 years of inactivity on that account. Booking information will be held for 3 years.

Will I be subject to automatic decision making?
Modeshift does not use automated decision making in relation to personal data.

What rights do I have in respect of the personal data you hold about me?
You can request a record of all the personal data that Modeshift holds on you. Or you can manage your account by logging into the Modeshift Account and clicking on the “Your Details” Tab in the Members Area. Requests can be made with your local administrator or the central Modeshift team by emailing admin@modeshift.org.uk

What happens if I don’t provide my information? (where personal data is obtained from the individual)
In order to be able to access the Modeshift Website you need to provide personal information such as your name, email address, place of work so we can enable system access and verify who you are and deliver our services.

If you are concerned that your rights have been violated, you can complain to STARSFor Team by email admin@modeshift.org.uk. Or you can contact the Information Commissioner’s Office www.ico.org.uk.

I didn’t give you my personal data, so what is the source and what type of personal data are you processing?
Personal Data may be entered into the Modeshift Website. Members may book additional delegates onto events on their behalf and by doing so will submit personal data. This data will used in conjunction with the purpose it was submitted for and not passed on to any third parties. This may include: Names, email addresses, Organisation/place of work, job titles, phone number and dietary requirements.

Any changes to our privacy and data protection policies in the future will be posted to the online application and, where appropriate, through e-mail notification.
